This module enables firms to handle the sale, purchase or sale and purchase of domestic and commercial premises in a highly automated environment. This enables the conveyancing process to be completed quickly. It also includes an e-conveyancing section and a web case tracking system. These online products enable potential clients to receive a conveyancing quote online and then track the progress of their case online.
The module comes complete with all the required legal forms integrated. These can be built (together with a firm’s own standard letters) into agendas, which can then be applied to matters, to ensure that a consistently high quality of work is maintained. This enables a firm to delegate repetitive tasks to more junior staff, to ensure that it can operate effectively in this highly competitive environment.
The system incorporates a database in which details of regularly used 3rd parties e.g. Estate Agents, Insurance companies, Building societies and regulatory bodies, can be stored. Multiple services can be held against each matter and the details entered can then be added to matters and utilised and merged when producing documents from within Agendas.
The Conveyancing module’s strength comes from the agendas that are built into the system, which automate the way that each case is administered, saving time and taking away the repetitive tasks involved in this type of work. The system is simple to use yet powerful enough to give users the ability to create their own agendas, workflows and letters.
The module facilitates automatic links to the on-line NLIS suppliers. It also links seamlessly to the STARS system to meet the needs of those firms operating in the bulk re-mortgage field.
Enables firms to give their clients access to the progress of their matters via the Internet at any
time of the day or night from anywhere in the world. When a client is added to the PMS, a unique
client reference number and password are generated. This information can be provided to the client who can then use them to log onto the firm’s website in order to view a report of their matter. The system also allows Introducers and Brokers to view all their clients’ matters. Once again a unique system generated password is allocated to each “supplier”. For each type of matter, an agenda (a list of standard steps used to process the matter) is prepared. As each matter is progressed, details of changes to the agenda are automatically updated to our secure servers and can then be viewed through any web browser by the appropriate user with the correct passwords.
This enables firms to give new and existing clients the ability to generate an accurate, fully qualified
quotation on the Internet for a sale, purchase, sale and purchase or re-mortgage. The client screens
are simple and easy to use. The first screen asks for minimal information before generating the quotation. If
the client is happy with the fee proposed, the second screen asks for details of the buyers or sellers,
their property details, estate agents and solicitor details. This information is then e-mailed to the solicitor.
The system’s front-end simplicity hides its “behind-the scenes” sophistication. A flexible administration
utility allows the solicitor to amend all elements of the quotation, such as fees, disbursements, local
authority charges and notes that appear on the quotation. By using Mountain Software’s On-line quoting system,
a firm can open up its services to a much wider audience.
